We have a fantastic new job opportunity for an Administration Assistant, to join the Lincoln team, with strong IT literacy and experience of all Microsoft packages. A successful candidate must have excellent interpersonal skills and be capable of working as part of a team and independently.
This role comprises of three primary elements:
General reception duties
Answering and directing incoming telephone queries
General reception duties, including the meeting and hosting of Clients
Submitting expenses and timesheets
Document reviews in accordance with our Quality standard
Health and safety
Control of Petty cash and foreign currency
Opening and distributing incoming post
Printing, scanning, filing, typing, binding, laminating, faxing and shredding
Maintaining stock levels of stationary
Opening, closing and archiving files
Booking travel including international flights, hotels, hire cars, euro tunnels, trains,
Maintaining data on a collaborative working environment
Opening and closing the office
Security & Export Control
Control of entry, visitor bookings
Monitoring and maintaining security controls for the protection of government protectively marked assets
Security checks – ensuring that any breach of security is immediately reported.
Logging and monitoring corporate exports
Training Coordination
Coordinate the applications and booking of students onto courses
Send out joining instructions and pre-course material
Preparing meeting rooms for student courses including arranging lunches through a local company and preparing course work
Provide day-to-day administrative support to students attending courses
Collate student feedback forms and manage the process for post-course validation and follow-up with students that have attended courses
Job Requirements
Essential:
Full UK Driving License
Strong interpersonal skills
A willingness to learn, and the ability to attend training events remote from Lincoln
Strong team ethic, and ability to swiftly integrate in a busy team
Ability to work independently and in isolation
IT literacy
Experience of all Microsoft packages
The successful candidate must be eligible to gain a Security Clearance through UKSV.
Desirable:
Experience within an office environment
Experience of export control
Experience in physical, IT security and / or data protection
Experience of Information Management
